FLIGHT & HOTEL BOOKING PROTECTION

Flight and hotel cancellation and refund policies

Before asking whether a booking is refundable, establish who cancelled, who issued it, which fare or room conditions apply, when the deadline expires and how the money returns. Make the small print part of your decision before payment.

The short answer

What should you check before paying?

There is no single cancellation and refund policy for every travel booking. When you cancel, the fare or room conditions, timing, no-show rules and booking channel determine the outcome. When an airline or property cancels, different rights may apply. Start with your actual booking documents, not a fare name, a “flexible” advert or a general answer online.

01 • Circumstances

Who cancelled?

The traveller, airline, hotel or an extraordinary event? The circumstances change the route.

02 • Contract

What did you buy?

A specific fare, room type, extras and insurance with separate conditions.

03 • Deadline

When does the option expire?

The cutoff, time zone and last opportunity before no-show rules apply.

04 • Money

How is it returned?

To the payment method, as credit or a voucher, or nothing after deductions.

Before selecting “Cancel”: Some booking systems act immediately. Save the conditions and estimated refund, check the effect on every passenger, flight sector and room, then keep the request reference.

Organise your next steps

Build your cancellation and refund checklist

Select the circumstances only; no personal details are requested. This tool does not access your booking, cancel it or determine eligibility. It helps you contact the right party and preserve evidence before taking action.

Your suggested checklistStart with the actual booking contract

Save the conditions and contact the issuing party shown on your receipt.

  1. Check the last opportunity before no-show rules apply.
  2. Request the net refundable amount before confirming cancellation.
  3. Check every flight sector, operating airline and fare rule.
  4. Check the impact on later sectors before cancelling just one.

Read the fare first

Cancelling a flight at your own request

“Economy” does not explain refundability. Identify the fare family and change, cancellation and no-show rules for each sector. Separate cancellation penalties from fare differences, agency service fees, taxes, seats and baggage. A changeable ticket may be non-refundable, and a free change may still involve a fare difference.

The flynas fare comparison illustrates the distinction: some fare types do not allow cancellation, while eligible types permit it up to four hours before departure subject to their conditions. The remaining balance is credited to Nas Wallet for the same passenger through direct channels, with one-year validity. This is a supplier-specific example, not a rule for every airline or ticket; permission to cancel does not automatically mean a cash refund.

If an agency or platform issued the ticket, establish who controls the booking before making a separate airline change. Altering one sector can affect later sectors. SAUDIA's refund guidance advises cancelling the reservation during or before a refund request to avoid no-show penalties, and refers agency-issued tickets back to the purchase channel.

When the airline cancels

Airline cancellation is different from traveller cancellation

GACA's Passenger Rights Protection Regulations distinguish airline cancellation from voluntary cancellation. Under Article 12, when the airline cancels and the passenger does not accept an alternative flight, terminating the contract entails a refund of the ticket value and eligible additional booking charges, including paid seats and baggage. Compensation depends on notification timing, the regulation's scope, the circumstances and exceptions; a percentage alone cannot establish an individual entitlement.

For claims covered by the regulation, Article 21 sets a maximum of 15 days from the relevant incident for the prescribed refund and/or compensation, with ticket repayment through a method corresponding to the original payment unless other rules prevent it. Article 19 addresses covered bookings through tour organisers and the refund route through the organiser. These provisions are not a universal deadline for voluntary cancellation, hotels or airlines outside the regulation's scope.

Before accepting an alternative or credit, understand the effect of acceptance. Request separate figures for ticket value, additional charges, compensation and care services. Retain the cancellation notice, its arrival time, the alternatives offered and your decision.

  1. Record the facts: Flight number, travel date and notification time.
  2. Separate the options: Alternative, refund, compensation and care.
  3. Establish the scope: Airline, airport, contract and regulator.
  4. Request a case reference: Start date and payment route.

The room rate, not the hotel name

Hotel cancellation: small conditions that change the result

Flexible until a deadline

The time matters as much as the date

Record the exact cutoff and time zone. “Until 10 September” does not establish the hour or whether the hotel's local time applies.

Non-refundable

Lower price, greater exposure

A visa refusal, illness or change of plans does not automatically create an exception. Check written exceptions and suitable insurance before payment.

Pay later

Not necessarily free to cancel

A property may preauthorise funds or charge for a no-show even without advance payment. Payment timing and cancellation rights are separate.

Match the room name, guest count, meals, length of stay and charges after each deadline. Visually identical rooms can carry different policies. Booking.com's terms explain that changes and cancellations depend on the booking conditions and the service provider's policy. Some partner offers cannot be changed even if cancellation is free within its stated window.

If the platform collected payment, it may manage the refund; if the property charged you directly, you may need the property's process or a request via the platform. Never send full card details by ordinary email. Save the completed cancellation confirmation, not merely an acknowledgement of your request, and monitor the card account against the stated processing period.

Illustrative comparison: A SAR 600 non-refundable room is not necessarily better value than a SAR 690 cancellable room when travel depends on a visa, medical appointment or changeable event. Compare the SAR 90 saving with the whole amount at risk. These figures are examples, not offers.

Insurance has defined limits

When can trip cancellation insurance help?

Saudi Insurance Authority guidance describes travel cover that may include prepaid cancellation expenses not recoverable elsewhere, subject to the insurer's terms. A travel policy does not make every non-refundable booking recoverable.

Check the covered cause and definition, purchase date, benefit limit, excess, exclusions, pre-existing circumstances, eligible relatives and required evidence. Before cancelling with the supplier, establish whether the insurer requires you to pursue a supplier refund first, obtain approval or notify it within a deadline.

Keep two amounts separate: what the airline or hotel returns under the contract, and what the policy may cover from the remainder. Do not seek duplicate reimbursement of the same expense. Explore travel insurance coordination to discuss an actual policy, its cover and the documents needed for a claim.

Different facts, different outcomes

Four cases that need different answers

Non-refundable ticket

The traveller changes their mind

Check unused taxes and any credit option without assuming a base-fare refund. Compare changing the date with losing the booking.

Airline cancellation

The passenger declines an alternative

Record the cancellation and establish the applicable rights. Do not confuse a voluntary cancellation fee with an airline-cancellation entitlement.

Flexible hotel

Two hours before cutoff

Record the hotel's time zone, cancel through the specified channel and obtain confirmation. Clicking alone is not proof of a completed cancellation.

Unexpected illness

Non-refundable booking with insurance

Obtain the supplier's non-refundable balance, then check the insured cause, evidence and notification period. A medical report alone does not guarantee approval.

A documented claim

From request to escalation: keep a clear timeline

1 • Before cancellation

Save the ticket or confirmation, conditions, receipt, expected refund and cutoff.

2 • When requesting

Specify cancellation, refund, compensation or an alternative. Obtain a dated case reference.

3 • While waiting

Monitor the agreed channel and payment account. Avoid conflicting requests and record replies.

4 • When escalating

State the facts, amount and remedy requested, with evidence for the competent body.

Complaint route: Start with the supplier or issuing party. For aviation within the applicable jurisdiction, use the airline's process before GACA's channels. For insurance, use the insurer before the Insurance Authority's customer protection channel. Hotels and platforms may involve another contract, destination and jurisdiction. This guide does not determine the legal outcome of an individual case.

Avoid costly shortcuts

Eight mistakes to avoid

  1. Reading “flexible” without the detailed conditions.
  2. Treating credit as cash of equal usability.
  3. Missing a cutoff because of a time-zone difference.
  4. Cancelling a sector without checking the rest of the ticket.
  5. Contacting the airline when the agency controls issuance.
  6. Accepting an alternative before comparing rights, time and cost.
  7. Assuming insurance covers a change of mind.
  8. Sharing sensitive information through an unofficial channel.

Before payment, request a written offer showing the fare family, room type, cutoff, refund method, responsible party and service fees. Compare flight booking and hotel booking conditions, not price alone.

Focused answers

Cancellation and refund FAQs

Start with the contract, circumstances and channel, then match the answer to your documents.

Can every flight ticket be refunded after cancellation?

No. For traveller cancellation, fare rules, timing, no-show status and the booking channel determine any cash, credit and deductions. Airline cancellation may create different rights. Read the actual conditions before treating a ticket as refundable.

How does a cash refund differ from travel credit?

A cash refund follows the applicable repayment process, usually to the original payment method. Credit remains with the airline or platform and has its own expiry, named passenger and usage restrictions. Compare the net value and validity, not just the option name.

Does a non-refundable booking always mean losing the entire payment?

Not universally. Some unused taxes or charges may be recoverable, a documented exception may apply, or supplier cancellation may create rights. Separate the service price, taxes and extras, and request a written calculation.

When does a flight booking become a no-show?

The deadline depends on the airline, fare and route. Changes or cancellation may close several hours before departure, and missing one sector can affect later sectors. Contact the issuing party before the deadline and obtain a request reference.

How do I find the hotel free-cancellation deadline?

Read the date, exact time and time zone in the room confirmation, including whether hotel-local time applies and the charge after cutoff. “Free cancellation” without a precise deadline and rate policy is not enough.

Who handles a refund for an agency or platform booking?

Start with the issuing party on the receipt. Booking control and the payment route determine who can process changes or refunds. For some organised travel bookings, repayment goes through the organiser even when the supplier cancelled.

How long does an airline-cancellation refund take?

For claims covered by GACA Passenger Rights Protection Regulations, Article 21 specifies a maximum of 15 days from the relevant incident for the prescribed refund or compensation. Do not apply that deadline automatically to voluntary cancellation, hotels or carriers outside the regulation’s scope.

Does travel insurance cover cancellation for any reason?

Usually not. Cover depends on a named insured cause, evidence, benefit limits and an excess, with possible exclusions for known circumstances or simply not wanting to travel. Check the covered-cause definition before buying the policy and cancelling.

Which documents should I keep for a refund claim?

Keep the confirmation, ticket, receipt, fare and room conditions, pre-payment screenshots, cancellation notice, correspondence, case references, amounts and dates. Share full card or passport details only through an appropriate official channel when genuinely required.

When should I escalate a cancellation or refund complaint?

After a documented request to the responsible party and an expired stated deadline or unexplained rejection, use the supplier’s official complaint channel and then the competent regulator where applicable. Set out the facts, amount and requested remedy with evidence, without exposing sensitive information.
